Registration

How do I modify my National Conference registration record?

You may modify your registration or make a credit card payment by logging back into the system at https://na.eventscloud.com/523272. Your login credentials may be found on the registration confirmation page that was emailed from conference@aises.org. to you at the time of registration. The login credentials are the email address used for the registration record and the reference (record) number. If you need assistance, please contact us at (505) 765-1052.

What is the attendee payment policy?

Check: If you are paying by check please make payable to AISES; include a copy of your receipt/invoice or reference your invoice number and list attendee(s) name(s) and mail to:

Purchase Order:

If you are paying by Purchase Order (PO), please fax a copy of your purchase order to 505-765-5608 by September 20, 2020 or email to conference@aises.org attention AISES National Conference. Please reference the 2020 AISES National Conference in the PO. (AISES Tax ID #73-1023474) 

All payments (including purchase orders) must be received by October 2, 2020

Is there a registration Deadline?

Yes. all attendees must be registered by Oct 5 to receive access to the event.

What is the cancellation and refund policy?

Conference Registration Dues Cancellation and Refund Policy

AISES will grant a full refund less a 10% processing fee to any individual who cancels their registration no later than Sunday, September 25, 2020. Individuals who cancel their registration on or before October 2 will be charged 50% of their registration fee. No refunds for cancellations will be granted after October 2. Please see the FAQ page for the AISES payment policy (https://conference.aises.org/faqs).

Cancellation and refund requests must be emailed to conference@aises.org.

Important note: Registrants are responsible for the cancellation of their own travel arrangements (airline, rental car and/or other ground transportation and parking) and/or (hotel) reservations and any applicable fees.

AISES National Conference Cancellation Policy

The American Indian Science and Engineering Society (AISES) will have no liability to event registrants (whether they attend the event in person or virtually) on account of any loss or damage resulting from any delay, failure, or cancellation with respect to its National Conference if such delay or failure is caused, in whole or in part, by acts of God, strikes, lockouts, riots, acts of war, earthquake, fire, explosions, situations that make it inadvisable to travel or gather in large groups, or other events, including occurrences or causes beyond the control of AISES (each a “Force Majeure Event”).

If AISES should have to cancel its National Conference (whether it be a combined in person and virtual live event, an all in person event, or an all virtual live event) for a reason other than a Force Majeure Event, registrants will be given the option of a refund for their registration fees according to the AISES registration cancellation policy as noted here/or listed above, or to donate their registration fees to AISES.

What is AISES Code of Conduct?

All conference participants are expected to adhere to the AISES Code of Conduct. Anyone who is found violating the code will be asked to leave the conference immediately. You agree that you and any participants registered by you have reviewed and agree to abide by the AISES Code of Conduct found at: https://conference.aises.org/attendees/conduct.

Virtual Conference

What is a virtual conference?

As a virtual event, AISES can provide conference attendees a platform to safely network, learn and interact with other conference attendees. This event is 100% online, meaning you do not have to travel to any specific location. You can participate anywhere that you have Internet access. The event is accessible from desktop, mobile and tablet devices.

What are the registration rates for participating virtually?

View information on AISES National Conference registration rates and the cancellation and refund policies.

Do I need to download or install any software to be able to attend this event?

NO. You do not need to download or install any software to participate in the AISES conference. You only need to have access to the Internet.

Is a webcam required?

No. A webcam is not required to participate in the general conference. However, a webcam is recommended in case you would like to one-on-one video chat with exhibitors or other attendees.

How do I access the virtual components?

All virtual components will be available through the AISES virtual conference platform. An email will be sent before the start of the conference with each attendee's login credentials and instructions for logging in. Each individual participant is required to register to create your profile and access all elements of the conference.

What features are available on the virtual conference platform?

Aside from the featured events, there are also interactive features available such as chat capabilities, polling, quizzes, and social media feeds. View more information on the virtual conference platform.

How long will the on-demand content be available online after the conference concludes?

AISES National Conference content will be hosted for 30 days following the event.

Which browser is best for accessing the Virtual Platform?

We recommend Chrome and Firefox.

Will there be a mobile app again this year?

No. All conference activities will take place on the AISES virtual conference platform. The virtual conference platform is accessible from desktop, mobile and tablet devices.

College and Career Fair

How do I reserve exhibitor space for the College and Career Fair?

It’s simple! Just go to this link - Exhibitor Registration, choose “New Registration”, enter your email, select exhibitor, and complete the registration questions.

When will the College and Career Fair take place?

The College and Career Fair is scheduled Thursday, October 15, 2020 from 11:00am – 5:00pm (Pacific Time); 12:00 – 6:00pm (Mountain Time); 1:00 – 7:00pm (Central Time); 2:00 – 8:00pm (Eastern Time).

Where can I find a list of College and Career Fair participants (exhibitors)?

Over 100 exhibitors will take part in the College and Career Fair. You can find an up to date list here: http://conference.aises.org/exhibitors

Will exhibitors have access to the AISES resume database?

Yes, all sponsors and exhibitors will be provided access the AISES resume database.

How long do attendees have access to the virtual College and Career Fair information?

Attendees can interact with exhibitors during the College and Career Fair which is scheduled Thursday, October 15, 2020 from 11:00am – 5:00pm (Pacific Time); 12:00 – 6:00pm (Mountain Time); 1:00 – 7:00pm (Central Time); 2:00 – 8:00pm (Eastern Time). The exhibit hall will remain open for the duration of the National Conference and for 30 days after for attendees to view information and company contact information.

How can my organization become a conference sponsor?

Sponsorship helps bring the AISES Family together for the National Conference and aids us in delivering quality programs throughout the year.  Partners enjoy being a part of the conference, increased visibility and year-round access to our membership. Do tribes and tribal enterprises participate?

Yes! AISES works with tribes throughout the country and welcomes tribal business to participate as session presenters, event sponsors and exhibitors at the College and Career Fair. The AISES National Conference is a great place to recruit top Indigenous STEM talent and your investment aids in advancing our mission to increase the representation of Native people in STEM studies and careers. Is there an exhibitor orientation?

Yes. AISES will host an exhibitor orientation on Sept. 22nd to cover how exhibitors can best utilize the AISES virtual platform. AISES will provide a brief overview of the organization, highlights for the National Conference, discuss ‘housekeeping’ topics for the College and Career Fair floor and answer any questions you have about the event or the AISES membership. Details about the orientation will be emailed to registered sponsor/exhibitors

When can exhibitors upload content for their virtual booths?

Exhibitors will receive a link to create their virtual booth via email within one week of registering from O’Design Production Services, if you have not please connect with them at virtualteam3@odesignpc.com. Please title the email subject line: AISES Exhibitor Booth

What is the final day to register/build for the virtual College and Career Fair?

September 25, 2020. O’Design Production Services will be supporting you with the virtual booth set up. Please connect with them if you have any questions regarding the set up at virtualteam3@odesignpc.com.

What is the Cancellation and Refund Policy for Sponsors/Exhibitors?

Sponsor Cancellation and Refund Policy

Upon receipt of invoice, payment, and/or successful registration for the conference through the AISES platform, sponsors will have agreed to an investment amount and confirmed their participation. Sponsors no longer able to participate must notify AISES by July 1, 2020. In the case of cancellations, AISES will work with sponsors to either: 1) grant a refund of sponsorship commitment with a 25% processing fee, 2) apply the entire sponsorship to the AISES 2021 National Conference, or 3) allocate the sponsorship to AISES programs. No cancellations or refunds will be made after July 1. Cancellation and refund requests must be sent in writing to AISES Chief Development Officer, Kellie Jewett-Fernandez at kjfernandez@aises.org.

Exhibitor Only Cancellation and Refund Policy

AISES will grant a full refund less a $100 processing fee to any exhibitor that cancels their registration no later than June 1, 2020. Exhibitors that cancel their registration on or before August 14, will receive a 50% refund, less $100 processing fee. No refunds for cancellations will be granted after August 14. Cancellation and refund requests must be emailed to exhibitors@aises.org.

Membership/Membership Events

How do I become an AISES member in order to receive member conference registration discounts?

In order to take advantage of AISES Member registration discounts, you must be a current member of AISES. To renew your membership, go to http://www.aises.org/membership. Will there be a Sequoyah Breakfast?

This year AISES will host a virtual Sequoyah Ceremony to acknowledge the 2020 Sequoyah Fellows. The 2020 Sequoyah Fellows will also be honored in person at the 2021 AISES National Conference in Phoenix, AZ.

Media/Advertisement

Will media and press be allowed to cover the conference?

AISES welcomes the media and press to cover the event. We ask that media and press connect with Montoya Whiteman (mwhiteman@aises.org), Senior Director of Marketing or Emerald Craig (ecraig@aises.org), Director of Outreach, before the conference by sending an email. AISES will provide a media kit and an AISES media badge that will identify the media and press to attendees. Please note there are several events in which the media and press is not allowed to participate or cover for privacy reasons.

Is there a contact for publicity and news opportunities with my tribe or organization?

If you would like to develop a story or conduct an interview ahead of the national conference, contact Montoya Whiteman (mwhiteman@aises.org), Senior Director of Marketing.

Can I advertise in the conference program?

Only AISES Medallion, Jade, Turquoise Gemstone Sponsors can place an advertisement in the program as part of their package. No advertising is sold for the program. However, you can advertise in the Fall/AISES Conference Issue of Winds of Change which is in all attendee bags at the conference!  Please see the media kit here: http://woc.aises.org/about/print-advertising.

Is there an AISES National Conference PowerPoint Template?

If you would like to use the AISES National Conference Power Point template, you may download it at http://aises.org/2020-pp-template.

How do I upload my presentation materials to the virtual conference platform?

Accepted presenters will receive instructions via email about how to upload their materials after their presentation has been accepted. 

Do Session and Research Presenters receive a Discount on National Conference Registration?

Each accepted session will receive up to two full conference registrations discounted by 50%, regardless of how many presenters are participating in the session.

Research:

  • July 1, 2020 for a 100% registration discount; or
  • Between July 2 and August 1, 2020 for a 50% registration discount.
  • Research abstracts will still be accepted after August 1st, but with no registration discount.
  • To submit a Research abstract, log on to, http://conference.aises.org/agenda/research.

Accepted session and research presenters will receive a discount code by email.

When can poster research presenters upload content for their virtual booths?

Presenters will receive a link to create their virtual booth via email after their presentation has been accepted.

Resumes

Why should I upload my resume?

AISES college students and professionals attending the National Conference will have access to hundreds of industry partners seeking candidates for internships and jobs! By uploading your resume, potential employers can review your information ahead of the conference and throughout the year. Over the years, thousands of AISES members have found their dream jobs through AISES. Attendees will have the opportunity to upload their resume during conference registration.

May I volunteer to review resumes?

Yes! AISES is seeking experts to help students fine tune their resumes for the AISES College and Career fair. Please sign up at https://conference.aises.org/attendees/volunteer.

STEM Activity Day

What is STEM Activity Day?

STEM Day is a fun interactive day of activities will include hands-on STEM activities for pre-college students and educators; and college students. Start your AISES National Conference off right with this engaging and helpful afternoon of STEM activities and information. This event is sponsored by the Boeing Company and include chances to win great prizes! STEM Activity Day will feature a Marketplace where pre-college students can participate in a variety of activities to learn more about AISES pre-college opportunities and gain valuable professional development skills such as resume building, college application tips, AISES opportunities and more! Join us on October 14, 2020 from 12:00 to 4:00pm (Mountain Time).

Who can attend STEM Day?

Pre-college: middle school and high school students and educators; and college students can attend STEM Day.
